Access to the MLS is provided through local real estate boards and is bundled with board membership dues. In addition to board membership fees, most boards charge separate technology fees, data fees, and lockbox system subscriptions. What MLS Access Includes
MLS technology fees typically cover:
- MLS listing database access: Search all active and historical listings in your board area
- Listing submission rights: Ability to enter and manage your own listings on the MLS
- Showing management software: Appointment scheduling systems (ShowingTime, Broker Bay)
- Forms and document platform: Digital transaction forms (Authentisign, DocuSign integration)
- Market statistics and reports: Board-generated market reports, sold data, price trend analysis
- IDX/VOWS data feed: Allows your website to display current MLS listings
- Realtor.ca listing syndication: Your listings automatically appear on Realtor.ca
Lockbox Systems
Most Canadian boards use electronic lockbox systems that require an annual subscription plus the cost of lockbox devices. The two major systems are:
- Supra (Carrier): Used by TRREB, CREB, OREB, Edmonton, and most other boards. Annual key fob or smartphone-based access subscription ~$1800–$2500/year. Individual lockbox devices ~$800–$1200 each.
- SentriLock: Used by REBGV and some Western Canada boards. Annual subscription ~$1800–$2200/year. Lockbox devices ~$900–$1300 each.
The annual lockbox subscription and the cost of lockbox devices are fully tax deductible as business expenses. Many agents own 5–15 lockboxes depending on their typical listing inventory.
Additional Technology Add-Ons
Beyond the mandatory MLS access package, many realtors pay for optional technology upgrades:
- Enhanced Realtor.ca listing: Paid upgrades for featured placement and additional photos ($300–$1500/listing)
- IDX website subscription: Full IDX feed for your agent website ($500–$20000/month from providers like iHomefinder, IDX Broker)
- Market statistics subscription: HoodQ, Teranet data, or board premium stats packages ($50000–$2,000000/year)
- E-signature platform: DocuSign, Authentisign, or Dotloop if not included in board forms package ($1500–$60000/year)
- Transaction management software: Brokermint, Skyslope ($30000–$90000/year if not provided by brokerage)

Can I access MLS without being a REALTOR® member?
No. The MLS® system in Canada is exclusively available to REALTOR® members through their local boards. Consumers and non-member licensees do not have direct MLS access. Some provincial regulators require that all licensed registrants access MLS through a board membership.
Are MLS fees included in board dues or billed separately?
It varies by board. Some boards bundle technology fees into the annual membership dues. Others bill the technology/MLS fee as a separate invoice. Always ask your board for a complete fee schedule to understand exactly what you are paying and when.
Do I need to pay for multiple board memberships to serve clients in different cities?
Yes — if you regularly work in markets covered by different boards, you may need to join and pay dues at each board. Some boards have reciprocal showing agreements, but listing access typically requires full membership. This is common for agents in the GTA who also work in Hamilton, Barrie, or Niagara.
